Why volunteer?
Be part of a joyful fundraising day that supports Believe in Me’s work for marginalized youth. Volunteers are essential — you’ll meet great people, support scholarships and programs, and help deliver a smooth, fun event. All volunteers receive training, a volunteer t-shirt, lunch, and a heartfelt thank-you from the Believe in Me team.
General Expectations (all volunteers)
Shift length: Typical shifts are 4–10 hours, depending on role. Day-of roles often have morning (6:00–12:30), afternoon (11:30–5:00), and evening (4:30–8:30) shifts. Exact times will be confirmed after signup.
Training: A brief orientation/training session before the event (in-person or virtual). Role leads will run short on-site briefings.
Age requirements: Most roles are open to volunteers 18+. Cash handling, alcohol service support, and driving/shuttle duties require additional documentation.
Attire: Volunteer t-shirt provided; comfortable shoes and weather-appropriate outerwear recommended.
Perks: Volunteer t-shirt, lunch, event parking, networking, and a letter of appreciation/verification of hours upon request.

PRE-EVENT Roles (weeks → days before event)
These roles are remote/on-site pre-event tasks. Time commitment: 2–40 hours (varies).
1. Sponsorship & Outreach Assistant — 5 needed
Duties: Help prepare sponsor packets, follow-up emails/calls, schedule sponsor meetings, track sponsor materials.
Skills: Comfortable on phone/email, basic CRM use (Salesforce/GiveButter helpful).
Ideal: Great for people who love sales/fundraising.
2. Auction & Prize Intake Coordinator — 4 needed
Duties: Log auction donations, create descriptions/certificates, photograph items, coordinate pick-up/drop-off, assemble silent-auction displays.
Skills: Good organization, inventory systems, photography and spreadsheet skills.
3. Print & Materials Prep — 3 needed
Duties: Coordinate printing of signage, programs, name badges, assemble sponsor packets and player gift bags.
Skills: Detail-oriented, good at following lists, lifting boxes.
4. Logistics & Setup Planner — 3 needed
Duties: Build site map, order/rent equipment, coordinate vendor arrival times and course needs.
Skills: Event planning, communication with vendors.
5. Social Media & Communications Support — 4 needed
Duties: Create social posts, coordinate sponsor shout-outs, live social coverage during event.
Skills: Social media savvy, photography/video helpful.
DAY-OF Roles (critical)
These are the core operational roles — time commitment typically 6–10 hours.
6. Volunteer Coordinator / Lead — 2 needed
Duties: Manage volunteer check-in, coordinate role leads, troubleshoot, distribute radios/assignments.
Skills: Leadership, calm under pressure, excellent communicator.
7. Registration & Check-In Team — 6–8 needed
Duties: Greet golfers, verify registrations, distribute player packets, sell on-site add-ons, collect waivers.
Skills: Customer service, basic cash/credit processing, tablet use.
8. Scoring Table / Scoring App Operators — 4 needed
Duties: Input scores, manage leaderboard displays, collect scorecards, coordinate with rules committee.
Skills: Attention to detail, comfortable with scoring software or spreadsheets.
9. Course Marshals / Hole Monitors — 12–18 needed
Duties: Ensure pace-of-play, help with directions, manage on-course activations (Mulligans, Grenade Ball), safety on holes.
Skills: Confident communicator, mobile (golf cart or walking), problem-solver.
10. On-Course Activation Hosts — 8–12 needed
Duties: Staff specialty holes (closest-to-pin, longest drive), run games, sell add-ons, collect money or validate purchases.
Skills: Persuasive, customer-oriented, comfortable handling small transactions.
11. Beverage Cart / Drink Station Assistants — 4–6 needed
Duties: Stock and sell refreshments (if permitted), monitor drink stations, keep inventory.
Skills: Friendly, quick service, responsible alcohol protocol knowledge where applicable.
12. Food & Beverage / Hospitality Assistants — 6–10 needed
Duties: Boxed lunch distribution, dinner service support, VIP hospitality, catering liaison.
Skills: Foodservice experience helpful, customer service.
13. Silent Auction & Merchandise Team — 6 needed
Duties: Manage silent-auction displays, mobile bidding support, answer bidder questions, sell raffle tickets and merch, handle receipts.
Skills: Cashless/mobile bidding familiarity helpful; cash handling if needed (min. age 18).
14. Live Auction Assistants & Paddle Raise Runners — 4–6 needed
Duties: Assist auctioneer, collect bidder paddles, process payments, help deliver auction items.
Skills: Fast, organized, comfortable with public interaction.
15. Prize Table & Awards Coordinator — 3 needed
Duties: Prepare trophies/awards, manage award presentation and winner photos.
Skills: Attentive, reliable.
16. Parking & Shuttle Attendants — 6–8 needed
Duties: Direct parking, assist shuttles from overflow lots, ensure smooth arrival/departure flow.
Skills: Confident directing traffic, friendly, valid driver’s license for shuttle duties.
17. Setup & Teardown Crew — 8–12 needed (early start / late finish)
Duties: Move signage, set up tents/tables, place hole signage, tear down, load vehicles.
Skills: Able to lift boxes/tents, comfortable with physical labor.
18. Sponsor Liaison / VIP Concierge — 4 needed
Duties: Escort sponsors to their activations, ensure sponsor benefits are honored, collect sponsor feedback.
Skills: High-level customer service, professional demeanor.
19. Cash Handling & Finance Reconciliation — 2–3 needed (18+ only)
Duties: Handle any on-site cash, reconcile GiveButter/merchant reports, deliver proceeds to finance lead.
Skills: Trustworthy, basic accounting familiarity, comfortable with reconciliation procedures.
20. Photography / Videography Assistants — 2–4 needed
Duties: Capture course action shots, VIPs, and awards; assist the contracted photographer or cover social needs.
Skills: Camera experience, good eye for storytelling.
21. First Aid / Safety Point — 1–2 needed (EMT/First Aid preferred)
Duties: Respond to minor injuries, coordinate emergency response, have first-aid kit on hand.
Skills: First aid/CPR or EMT preferred.
22. Rules Committee / Tournament Official — 2–3 needed (golf-experienced)
Duties: Adjudicate disputes, provide rulings, keep play fair and timely.
Skills: Golf rules knowledge preferred.
23. Course Photography Assistant / Social Media Runner — 1–2 needed
Duties: Quickly upload photos to social media, share sponsor tags, update live feed.
Skills: Social media and fast editing skills.
Safety & Policies
Volunteers required to follow Believe in Me’s volunteer code of conduct and safety policies.
Cash-handling volunteers must be 18+ and will receive specific training.
Volunteers may be asked to sign a waiver or confidentiality agreement depending on role.

Q: Can I choose more than one role?
A: Yes. Indicate your top 3 role preferences on the form. We’ll do our best to match you to your strengths.
Q: What if I can only volunteer for setup or teardown?
A: Great — we need heavy support for both. Please specify your availability on the form.
Q: Do volunteers get to play golf?
A: Volunteer shifts are not typically paired with a complimentary foursome. Occasionally we offer volunteer appreciation opportunities — ask the Volunteer Coordinator.
